PERSONAL DATA POLICY FOR VIDEOLINK
The personal data policy applies to personal data that you provide us in connection with your contact with Videolink as a customer or business partner. For example, if you buy a subscription from Videolink, contact Videolink Customer Service, or when you use the Videolink website, www.videolink.dk (“videolink.dk”).
Videolink ApS is the data controller for your personal data. All inquiries to Videolink can be made via the contact details listed in section 6.
2.WHAT PERSONAL DATA ARE COLLECTED, FOR WHAT PURPOSES AND THE LEGAL BASIS FOR THE PROCESSING
The purpose is to optimize the user experience and Videolink.dk’s function, to generate useful and accurate statistics, to answer your questions on our chat function and based on the information we get from you through your use of Videolink.dk to conduct personalized marketing, including retargeting via e.g. Facebook and Google, and if you have consented to marketing cookies.
When you purchase a product or communicate with us regarding our products, we collect the information you provide yourself. This can be name, address, email address, telephone number, method of payment, information about which products you buy and possibly returned, information about inquiries and complaints, requests for delivery, as well as information about the IP address from which the order was made if the order is made on videolink.dk.
The purpose is that we can deliver the products you have ordered and otherwise fulfill our agreement with you, including in order to manage your rights to return and advertise, and to be able to contact you if necessary, regarding relevant information about the product you have purchased. We may also process information about your purchases in order to comply with legal requirements, including regarding product withdrawals, bookkeeping and accounting. When purchasing videolink.dk, the IP address is collected for the purpose of safeguarding our interest in preventing fraud.
The legal basis for the processing is Article 6(1)(b) of the EDP Regulation and our mutual agreement on purchases from Videolink, point (c) and our legal obligation to comply with legal requirements for withdrawals and bookkeeping and point (f) and our legitimate interest in preventing fraud.
3. YOUR RIGHTS
In order to create transparency about the processing of your data, we, as data controller, must inform you of your rights.
The right of access
You are entitled at any time to ask us for information about, among other things, what information we have registered about you, what purpose the registration serves, what categories of personal data and recipients of information may be, as well as information about where the information originated.
You have the right to obtain a copy of the personal data that we process about you. If you want a copy of your personal data, please send a written request to firstname.lastname@example.org. You will be asked to document that you are who you pretend to be.
Right of reply
You have the right to have incorrect personal data about yourself rectified by us. If you become aware that there are errors in the information that we have registered about you, you are encouraged to contact us in writing so that the information can be corrected. You will be asked to document that you are who you pretend to be.
Right of deletion
In some cases, you have the right to have all or some of your personal data deleted by us, e.g., if you revoke your consent and we do not have another legal basis to continue processing. To the extent that continued processing of your data is necessary, e.g. in order for us to comply with our legal obligations or for legal claims to be established, enforced or defended, we are not obliged to delete your personal data. You will be asked to document that you are who you pretend to be.
The right to restrict treatment to storage
In some cases, you have the right to have the processing of your personal data limited to storage only, e.g., if you believe that the information, we process about you is not correct.
The right to data portability
In certain cases, you have the right to have personal data that you have provided to us in a structured, commonly used and machine-readable format and have the right to transfer this information to another data controller.
Right of objection
You have the right at any time to object to our processing of your personal data for direct marketing purposes, including the profiling carried out in order to target our direct marketing, as this processing is carried out based on your consent and/or our legitimate interests, in accordance with paragraphs 2.1, 2.3, 2.4 and 2.6. If you do not want us to use your personal data for direct marketing and profiling, you must also delete your cookies, as mentioned in section 3.1 below.
The right to revoke consent
You have the right at any time to revoke a consent you have given us for a given processing of personal data. If you wish to revoke a consent, contact email@example.com.
The right to appeal
You have the right to lodge a complaint with the Danish Data Protection Agency at any time about our processing of your personal data. Among other things, complaints can be made by mail to firstname.lastname@example.org or by phone +45 33 19 32 00.
4. DELETION OF PERSONAL DATA
Information collected in connection with your purchases and inquiries to video link in connection with this, cf. item 2.2, will as a rule be deleted just over 2 years after your purchase, once the right to advertise the item has expired. However, information can be stored for a longer period of time if we have a legitimate need for longer storage, e.g. if it is necessary for legal claims to be established, enforced or defended, or if storage is necessary for us to meet legal requirements. Information on the return of goods is stored for up to 4 years after the end of the year in which the return was made in accordance with invoice requirements and accounting legislation.
Information you provide on video link profiles on social media, see section 2.6, will initially remain on those profiles as part of the page’s history unless you delete it.
Information resulting from a collaborative relationship as referred to in point 2.7 shall be retained for as long as it is relevant to the existing or potential cooperation relationship and for a subsequent period, for as long as is necessary for video links in order to document the relationship.
We have implemented appropriate technical and organisational safeguards against accidental or illegal destruction of personal data, forfeiture, alteration or deterioration, and against their becoming unrelated or misused.
Only employees who have a real need to access your personal data in order to do their job have access to the information. These employees are instructed on how to treat person data properly.
